CONTRACT
FOR MARKETPLACE BOOTHS
SOUTHEASTERN SHRINE CONVENTION
AUGUST 8, 9 AND 10, 2002
DATE, TIME AND PLACE
The Marketplace, in conjunction with the meeting of the Southeastern Shrine
Association of 202, will be held in the Hyatt Regency Exhibit Center.
Booths reserved through this contract will be made available for
exhibitor occupancy and installation by 2:00 p.m. on August 7, 2002 until 7:00
p.m. Hours for public displays and
sales shall be from 9:00 a.m. until 6:00 p.m. on Thursday and Friday, August 8
and 9, and from 9:00 a.m. until 12 Noon on Saturday, August 10 of this
Convention. Move out shall be
Saturday night until 11:00 p.m. All
equipment, supplies and merchandise shall be clear of the center by 7:00 p.m.
BUSINESS AREA
The Exhibitor agrees to conduct his/her business only during the specified hours
and to restrict his/her activity to his/her booths, which will be in the Hyatt
Exhibit Center.
DESCRIPTION
OF BOOTH
Each booth shall be a standard 10’ x 10’.
Each booth shall be furnished with a 6’ skirted table, 2 chairs, 1
wastebasket with liner, access to a 120 volt electrical outlet.
Additional equipment required by exhibitor can be rented from the
Exhibitors’ Service Desk, located in the exhibit hall and will be at the
exhibitor’s expense.
FEES,
TERMS OF PAYMENT AND RESERVATION OF BOOTHS
Rental fees are as follows: All
booths are $400.00 each. A discount
of $25.00 will be offered for each additional booth ordered.
A non-refundable binder fee of $100.00 per booth is required to reserve
each space. The binder fee will be
credited to the cost of the booths and final payment is due by May 10, 2002.
Please note, if final payment is not in by May 10, the exhibitor is
subject to forfeiture of their booth reservations and deposits.
CANCELLATION
In case of cancellation by the exhibitor, there will be no money refunded.
HOUSING
Housing will be coordinated through the Housing
Chairman.
LIABILITY
The exhibitor understands and expressly agrees that the S.E.S.A. and the S.E.S.A.
Convention 2002, and Hyatt Regency, their officers, directors, members and
employees will not be responsible for any of, or damage to, goods or property of
exhibitor or exhibitor’s employees. An
exhibitor, on signing this contract, expressly releases the above mentioned and
agrees to indemnify them against all claims.
The exhibitor assumes entire responsibility and hereby agrees to protect,
indemnify, defend, and save the S.E.S.A. Convention 2002, Hyatt Regency
and the employees and agents harmless against all claims, losses and damages to
persons or property, government charges or fines, and attorney fees arising out
of or caused by the exhibitor’s installation, removal, maintenance, occupancy,
or use of the standard exhibition premises or a part thereof.
In addition, exhibitor acknowledges that the S.E.S.A. Convention 2002,
the S.E.S.A., the Hyatt Regency, their officers, directors, members and
employees do not maintain insurance covering exhibitor’s property and
that it is the sole responsibility of the exhibitor to obtain business
interruption, property damage, fire or theft insurance covering such expenses of
the exhibitor.
TAXES,
SALE, ETC.
County, State or Federal taxes are the sole responsibility of the exhibitor.
EXHIBIT
SIZE
All exhibits will conform to the assigned booth space and shall not restrict
visual or physical access to adjacent exhibitors.
RELOCATION
OF EXHIBITS
The S.E.S.A. Convention 2002 committee reserves the right to alter
locations of exhibits on display.
EXHIBITOR’S
CON
A Hejaz Shrine Committee person will try to provide you with any
additional goods and services that you may require.

FOOD
A
Food and beverages shall be served at the Concession Area, but will be eaten in
an area that will be set aside for food and beverages service.
No alcoholic beverages are permitted in the Hyatt Exhibit Center.
AMENDS
OF CONTRACT RULES
Any and all matter of questions not specifically covered by the preceding
provisions shall be subject solely to the decision of the S.E.S.A. Convention
2002. The rules and regulations
may be amended at any time by the S.E.S.A. Convention 2002, and all such
amendments so made shall be binding on exhibitors.
Each exhibitor for himself and his employees, agrees to abide by rules
and regulations and by any amendments or additions hereto that may thereafter be
established or put into effect by the S.E.S.A. Convention 2002.
SECURITY
Security personnel will be on duty during the time that you, your employees and
your merchandise are in the Exhibit Center of Hyatt Exhibit Center.
We can assure you that all necessary precautions will be taken to protect
you and your property while you are an exhibitor in our show.
If you require individual security measures, please contact the Security
at the Exhibitor Service Desk in the Exhibit Center.
Badges will be issued to you and your associates and no one without the
proper identification will be permitted into the Hyatt Exhibit Center prior to
opening. We have over 6100 sq. ft.
in which to display your exhibit.
